PMIS Rounding Write-Off

Beta License: LGPL-3 PMISuite/stock-accounting Version: 18.0

Clears small customer or vendor residual balances through an explicit, posted journal entry and reconciliation. The addon handles company-currency open items; it does not automatically write off differences during payment.

Configuration

Dependencies are account and pmis_ux. Configure the following company settings in PMISuite Settings:

  • An active miscellaneous journal.

  • Rounding profit and loss accounts, separate from receivable/payable accounts.

  • A strictly positive maximum write-off amount in company currency (default 1.0).

Grant Rounding Write-Off Operator or Rounding Write-Off Manager through the Rounding Write-Off selection under Accounting on the user's Access Rights tab. Manager includes Operator permissions. These groups imply Accounting access. Normal journal-entry and reconciliation permissions still apply. Upgrade this addon to apply the layout on existing databases.

Usage

  1. Open Clear Customer Rounding Write-Off or Clear Vendor Rounding Write-Off from the Accounting customer/vendor menus or a contact's Action menu.

  2. Select the partner, company, and customer/vendor type. Contact context defaults to its commercial partner.

  3. Click Load Open Items. If multiple eligible receivable/payable accounts exist, select one account first.

  4. Deselect any items that should remain open and review the net residual.

  5. Confirm the date, journal, accounts, and limit, then click Confirm Write-Off.

Confirmation posts a two-line balanced entry and reconciles its counterpart against the selected items. A positive net residual debits the loss account; a negative residual credits the profit account. This covers customer underpayments/overpayments and vendor overpayments/unpaid balances.

Safeguards

Items must still exist, be posted and unreconciled, and belong to the same company, commercial partner, and selected reconcilable account. Customer mode requires receivables; vendor mode requires payables. Foreign-currency items, zero net balances, and balances above the wizard's limit are rejected.

The limit applies to the absolute net residual, not to each item's gross amount. The company maximum initializes the editable wizard limit; it is not an enforced company-wide ceiling. Operators can raise the wizard limit, and the addon does not implement a separate approval for doing so.

Changing partner type, partner, or company clears the selected account and items. Changing company does not reload the journal, profit/loss accounts, or limit from that company's settings. Review these values and the selected items before every posting; there is no dry-run posting mode.
